Refund & Cancellation Policy

Last updated August 9, 2026 Part of the Terms of Service Aiome Systems LLC

1. The short version 2. How to cancel 3. Refunds 4. How refunds are processed 5. Seat changes 6. Automatic renewal 7. The Free plan 8. Billing questions

1.The short version

You may cancel at any time, from your billing settings, in a couple of clicks. You keep access until the end of the period you have paid for. Payments already made are not refunded, and we do not prorate partial months. Our Free plan exists so you can evaluate Aiome properly before paying us anything.

We state this plainly rather than burying it. Aiome has a genuinely free plan — not a trial that expires, but a real workspace for up to three people. We consider that a fairer way to let you decide than taking your money and arguing about it later.

2.How to cancel

Open your workspace, go to Billing settings, and select Cancel subscription.

That is the complete process. Specifically:

  • No phone call. You never have to speak to anyone to cancel.
  • No email required. You do not have to write to us and wait for a reply.
  • No retention gauntlet. We will not route you through a sequence of offers, surveys, or confirmation screens designed to wear you down.
  • No cancellation fee.

Cancellation takes effect at the end of your current billing period. You keep full access until then, and you will not be charged again.

If you cannot reach your billing settings for any reason, contact us at aiome.io/contact and we will cancel it for you. We will not use that conversation as an opportunity to talk you out of it.

Your data after cancellation. When your subscription ends, your workspace is retained for 30 days, during which you can export your data or reactivate. After 30 days it is deleted from live systems. See our Privacy Policy and Data Processing Addendum, which state the same 30 days.

3.Refunds

Fees already paid are non-refundable. We do not provide refunds or credits for partial billing periods, for Seats removed mid-cycle, or for periods during which you did not use the Service.

Read this first, because it works in your favor. Paddle, not Aiome, is the seller of your subscription, so Paddle decides refunds. This Section is the policy we apply and ask Paddle to honor — but Paddle may refund you within 14 days of a payment at its own discretion, including in situations where our policy below says we would not, and it may refuse a refund where it finds evidence of abuse. Paddle will not process any refund request made more than 60 days after a payment. If our policy and Paddle's terms ever disagree, Paddle's buyer terms govern the refund.

When we do issue refunds

We are not looking for technicalities. We will refund you where:

  • We billed you in error — a duplicate charge, the wrong number of Seats, or a charge after you canceled. We refund these in full, and you do not need to argue for it.
  • You were charged after canceling because of a fault in our billing.
  • We discontinue the Service or a material feature of your paid plan — we refund prepaid fees covering the period after discontinuation.
  • You cancel because you don't accept a change we made to these terms or to pricing, before that change takes effect.
  • You terminate because of an unresolved subprocessor objection under Section 8 of our Data Processing Addendum — pro-rata for the unused period.
  • The law where you live requires it. Some jurisdictions give buyers statutory cancellation or withdrawal rights that cannot be waived. Nothing in this policy limits those rights. If you are a consumer in the United Kingdom or the European Economic Area, Paddle grants you a right to withdraw within 14 days of a purchase, which is lost once you have used the product.

One practical limit that is not ours. Paddle does not process refund requests made more than 60 days after the payment concerned. Please raise anything on the list above with us promptly, and well inside that window, so that we can act on it.

When we don't

  • Change of mind, or you stopped using the Service but left the subscription running.
  • Seats you paid for but did not assign.
  • Accounts suspended or terminated for violating our Acceptable Use Policy.
  • Downgrades taking effect mid-period.

These are the cases in which we will not authorize a refund. They do not override Paddle's own discretion as seller, or any statutory right you have.

If you think your situation deserves a refund and it is not listed above, write to us at aiome.io/contact. We read these and we do use judgment.

4.How refunds are processed

Purchases of Aiome paid plans are transacted through Paddle, and Paddle is the merchant and seller of record — your purchase contract is with Paddle rather than with Aiome. In practice:

  • Ask us first, and we will take it from there. Contact us rather than Paddle. Where our policy calls for a refund we will authorize it and Paddle will return the money. Paddle makes the final decision, and can also refund you directly under its own terms.
  • Refunds go back to the original payment method. Paddle cannot send a refund to a different card or account.
  • Timing. We will respond to a refund request within 5 business days. Once Paddle issues the refund, your bank or card issuer typically takes a further 5–10 business days to post it. The final timing is Paddle's and your bank's, not ours.
  • Taxes. Because Paddle collects and remits sales tax, VAT, and GST as seller of record, any tax charged is refunded together with the fee.
  • Deadline. Paddle does not process refund requests made more than 60 days after the payment concerned.

If you do not recognize a charge on your statement: because Paddle is the seller of record, your statement may show Paddle rather than Aiome. Please contact us before disputing it with your bank — we can identify and resolve a charge in hours, whereas a chargeback takes weeks and locks the funds while it runs.

Where this policy and Paddle's terms disagree, Paddle's terms prevail to the extent of the conflict, on anything concerning the purchase, payment, taxes, refund, or cancellation of a subscription. Everything in this policy that does not conflict with them continues to apply in full, and nothing here affects the rest of our Terms of Service.

5.Adding and removing Seats

  • Adding Seats increases the amount charged at your next billing date.
  • Removing Seats takes effect at the start of your next billing period. We do not credit or refund Seats removed mid-cycle.
  • Downgrading from Business to Free takes effect at the end of the current paid period. You keep Business features until then.

If your team size fluctuates significantly month to month, contact us — we would rather find a sensible arrangement than have you overpay.

6.Automatic renewal

Paid plans renew automatically. Unless you cancel, your subscription renews at the end of each billing period and your payment method is charged the then-current price for the Seats in your workspace. Billing is monthly unless stated otherwise at checkout. You may cancel at any time from your billing settings — see Section 2.

When you first subscribe, we disclose the renewal terms before you pay, obtain your consent to them separately, and send you a confirmation that includes the renewal terms and how to cancel. If we change your price, we give at least 30 days' notice before it takes effect, and you may cancel beforehand. See Section 5 of our Terms of Service.

7.The Free plan

The Free plan costs nothing, requires no payment method, and does not convert to a paid plan by itself. You will never be charged unless you actively choose a paid plan and enter payment details.

You can stop using it at any time, and there is nothing to cancel.

We do not delete a Free workspace for being inactive. There is no idle deadline and no clean-up sweep. Return in a year and your workspace will be as you left it. If we ever change that, we will publish the policy and give notice before anything is deleted.

8.Billing questions

For anything about a charge, a refund, or an invoice, contact aiome.io/contact or [email protected]. We aim to reply within one business day.

If we cannot resolve it between us, Section 16 of our Terms of Service explains what happens next — including the 30-day informal resolution period we are required to go through before anything formal starts.
